Essential duties and responsiblities include messanger functions, administrative functions and handeling office equipment functions. To assist Office Manager in day-to-day operational support. Responsible for document transaction, basic administration & handling office equipment.
- 1. Messenger Functions
- Ensure all outward and inward documents are processed timely and efficiently.
- Dealing effectively and politely with the general public in person and on the telephone.
- Handle carefully the transit document.
- Plan and follow the most efficient routes for delivering goods.
- Sort items to be delivered according to the delivery route.
- Record information, such as items received and delivered and recipients\' responses to messages.
- Call by telephone in order to deliver verbal messages.
- Open, sort, and distribute incoming mail.
- Any other messenger functions as required.
- 2. Administrative Assistance
- Helps to maintain, update records, files and document for proper filing
- Perform general office or clerical work such as filing materials, operating duplicating machines, or running errands.
- Provide administrative support to management and other staffs.
- Any other administrative functions as required.
- 3. Handling Office Equipment
- Arrange the repair and maintenance of all the office equipment.
- Train support staffs handling office equipment.
- Perform routine maintenance on delivery vehicles, such as monitoring fluid levels and replenishing fuel.
- Carry out weekly data backup, virus update, and basics maintenance of all computers and equipment under OM’s instructions
- Any other functions regarding handling office equipment as required.
